The incumbent must be able to communicate effectively with the public, co-workers, supervisors and other government and non-government agencies to quickly and effectively resolve issues while protecting and maintaining the integrity and professionalism of the department.  Must possess the ability to adapt and learn new procedures to respond to changing pressures and demands.  Incumbent is expected to stay current with the operational guidelines, policies, procedures, directives and administration manuals pertaining to the position. 

Under the supervision of the Park District Manager, the incumbent provides clerical and administrative support to the Spruce Woods Park District comprised of Spruce Woods, Criddle Vane and Seton Provincial Parks, as well as providing support to the district enforcement staff in the Carberry office.

Qualifications:
Essential:

  • Experience working in a general office environment performing clerical and administrative duties.
  • Experience with Microsoft Office (Excel, Word, Outlook) or equivalent software applications.
  • Experience providing customer service in person and over the phone.
  • Experience processing invoices for payment, maintaining financial ledgers and preparing reports for multiple accounts or projects.
  • Experience collecting fees, balancing and preparing remittances.
  • Experience processing employee registration documents and attendance in a computerized accounting system.
  • Strong leadership skills with the ability to supervise staff.
  • Ability to work independently with minimal supervision.
  • Ability to handle heavy workload demands and adapt to changes in priorities.
  • Ability to complete assignments in a timely manner and with attention to detail.
  • Ability to work cooperatively in a team environment.
  • Ability to maintain confidentiality and security of information.

Desired:
  • Knowledge of and familiarity with government and departmental polices and procedures.
  • SAP experience.

Duties:
The incumbent is responsible for preparing, checking and completing payrolls, preparing and completing accounts payable and receivable documents, maintaining files, requisitioning supplies and services, the development and commitment of budgets, cash flows and variance explanations, general administrative duties and communicating with customers, employees and other individuals to answer questions, disseminate or explain information and address complaints.  The incumbent ensures that programs are delivered within pre-approved parameters and that professional, business-like, quality customer service is provided to the department's clients.  Incumbent will perform SAP Timekeeping, Requisitioning and Reporting functions.  Supervision of staff may be required.
