Introduction
The Manitoba Ombudsman is seeking professional, energetic, responsive and forward-thinking individuals to join our corporate administration team, supporting all three mandates of the Office – Ombudsman, Access and Privacy, and Public Interest Disclosure. Duties:
Reporting directly to the Ombudsman, the Executive Assistant provides highly specialized administration and professional support to the Manitoba Ombudsman and the senior executive team, in a fast-paced environment with significantly complex requirements.
The Executive Assistant to the Ombudsman is privy to highly sensitive and confidential information, which requires unfaltering discretion. The incumbent carries out their responsibilities with a high degree of independence, initiative, and diplomacy regarding confidential matters, projects, and dealing with senior government officials, agencies, and external stakeholders.
The Executive Assistant also assists with customer service and supports the Manager of Administration with corporate support in the Office, requiring excellent organizational and time management skills. The Executive Assistant possesses the ability to effectively manage competing priorities, while maintaining composure, effectiveness, and flexibility under pressure.
Competitive process:
The competition will include a board interview and a comprehensive written assessment. The incumbent must successfully complete a six (6) month probationary period to fulfill the requirements of the selection process.
An eligibility list may be created to fill other related positions within the Ombudsman’s Office.
Qualifications:
Essential:
- Post secondary degree or diploma in business, public administration, or related field, and extensive experience providing executive administrative support (such as the preparation of correspondence, making travel arrangements, coordinating meetings, minute taking, anticipating needs, and following up on actions). An equivalent combination of experience, with other relevant education may be considered, in lieu of a degree or diploma.
- Experience dealing with complex, detailed, and highly sensitive information, and the ability to communicate it with attention to detail and accuracy.
- High level of discretion and demonstrated ability to maintain absolute confidentiality according to strict legal, procedural, regulatory, and statutory guidelines.
- Expert skills in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong written and oral communication skills, with significant experience writing professional letters, emails, memos, reports, and other business documents.
- Excellent organizational and time management skills, with the ability to effectively manage competing priorities, while maintaining composure, effectiveness and flexibility under pressure.
- Strong teamwork skills, with demonstrated ability to work independently and collaboratively with a diverse group of people on a wide range of tasks.
Desired:
- Fluently bilingual in French and English, both written and oral.
- Experience working within a government or legal structure.
- Experience working with organizational financial planning, including budgets, forecasting, cash flow, accounting, and financial reporting.
- Experience providing front-line customer service in a public-service setting.
