Manitoba's Mental Health and Community Wellness (MHCW) department is looking to fill the role of Executive Administrative Assistant.

The department of Mental Health and Community Wellness' vision is that Manitobans experience optimal physical, mental, emotional, cultural and spiritual well-being across their lifespan.  MHCW takes a whole-of-government approach to providing strategic leadership, funding, policy direction and oversight for Manitoba’s Mental Health and Substance Use/Addictions system as well as chronic disease prevention and health promotion.

Qualifications:

Essential:
 

  • Post-secondary education in office administration with progressive administrative/clerical and secretarial experience or equivalent combination of education or training with extensive progressive administrative/clerical and secretarial experience.
  • Experience providing administrative support to senior or executive level staff.
  • Experience setting up and maintaining files, filing systems and document tracking systems.
  • Experience managing electronic calendars to schedule and coordinate meetings.
  • Excellent written communication skills with the ability to draft, proofread and edit various correspondence, including letters, memos, reports and authority seeking documents with strong attention to detail and high degree of accuracy.
  • Excellent verbal communication skills with the ability to communicate effectively with the public and staff over the telephone and in person.
  • Proven organizational and time management skills to effectively manage tight deadlines while maintaining a high degree of accuracy.
  • Strong analytical and problem solving skills.
  • Strong interpersonal skills and ability to work effectively with the public and staff, and build and maintain relationships with internal and external stakeholders.
  • Ability to handle sensitive and confidential information.
  • Proficiency with Microsoft Office (Word, Excel, Outlook and PowerPoint).

Duties:
The Executive Administrative Assistant plays a critical role in ensuring the appropriate flow of work between the ministerial offices and branches of the department. Demonstrating a high level of initiative and independence, this highly responsible and confidential administrative support role will manage electronic calendars on behalf of the Executive Directors, manage administrative processes and filing systems, along with the coordination, preparation and completion of various documentation.
