The Administration and Finance Assistant is responsible for providing full administrative support to the Financial Planning and Review section of Financial and Administrative Services Branch, and the Assistant Deputy Minister/Executive Financial Officer (ADM/EFO)  pertaining to:

  • Estimates (including the Preliminary Estimates, draft print, and estimate proofs),
  • Monthly, quarterly and yearly cash flow reporting,
  • The development, maintenance, and implementation of the computer based financial reporting process for the Department

Qualifications:
Essential:

  • Post-secondary education in  office/business administration with progressive administrative/clerical and financial accounting experience or equivalent combination of education or training and extensive experience may be considered
  • Experience providing financial and administrative/clerical support to senior level staff including working with sensitive and confidential information
  • Experience with estimates and cash flow processes including compiling financial data; preparing and analyzing revenues/expenditures; monitoring expenditures
  • Office management experience including developing and maintaining office administrative systems and procedures, paper and electronic filing, document tracking, archiving and records management
  • Proficiency with Microsoft Word, Outlook, PowerPoint, including a strong proficiency with Excel
  • Strong problem solving and decision making skills with the ability to work independently, apply political acumen and exercise a high level of initiative
  • Strong interpersonal skills with the ability to work with a variety of internal and external stakeholders at all levels, and build and maintain working relationships
  • Excellent written communication skills with experience preparing a variety of documents including correspondence, reports and/or authority seeking documents with strong attention to detail
  • Excellent verbal communication skills with the ability to provide information in a clear and professional manner
  • Strong organizational and time management skills with the ability to prioritize workloads and effectively manage deadlines
  • Ability to manage highly sensitive material and information in a confidential and professional manner

Duties:
Reporting to the Manager, Financial Planning and Review, the Administration and Finance Assistant is responsible for providing continuous financial and analytical support for enhanced management, control, and accountability of departmental resources including the support and maintenance of integrated program budgeting and reporting systems. This includes providing assistance with the preparation, analysis, and review of departmental expenditure forecasting and reporting requirements with a particular focus on the estimates, monthly, quarterly and yearly cash flow reporting as well as the development, maintenance, and implementation of the computer based financial reporting process for the Department.
