The intent of this competition is to fill a number of current vacancies and establish an eligibility list for a variety of clerical and administrative positions throughout the Department of Transportation and Infrastructure. Some positions may require a unique skillset or experience; therefore, candidates may be required to undergo additional assessments to validate their qualifications, skills, experience, abilities and knowledge.

Qualifications:
Essential:

  • General office experience such as: filing, mail/document management and coordination, electronic calendar management, meeting coordination and the use of office equipment.  
  • Experience in data entry using computerized systems and databases.
  • Experience in providing customer service to internal and external clients by phone, email and in person in a professional manner.
  • Effective written communication skills; including experience in proofreading, editing and preparing letters and/or reports.
  • Experience and proficient in the use of Microsoft Word, Excel, Power Point, Outlook & Teams.
  • Effective organizational and time management skills with the ability to handle multiple tasks in high-pressure situations with competing priorities while meeting strict deadlines.
  • The ability to work with a high degree of independence and accuracy.
  • The ability to exercise high level of discretion and confidentiality.
  • Effective verbal communication skills to clearly and professionally communicate with internal and external stakeholders.
  • Effective interpersonal skills including the ability to work cooperatively and collaboratively in a team environment.
  • Experience in financial and accounting principles, preferably accounts payable and accounts receivable (essential for financial clerical positions only).
  • Ability to communicate verbally and in writing in French (essential for bilingual positions only).

Desired:
  • Experience with using SAP

Duties:
The incumbent will be responsible for providing various clerical and administrative support to staff as needed. The specific duties for both the Clerk and Administrative Assistant positions will be dependent on organizational needs. Typical duties of these roles include, but are not limited to:

  • Calendar and appointment management
  • Meeting coordination
  • Establishing a bring forward system, assignment tracking  
  • Preparing a variety of reports, meeting minutes and correspondence, including proofreading and editing written documents
  • Filing and maintaining paper and electronic databases
  • Screening and directing inquiries (phone calls and email inquires)
  • Processing accounts payable and receivable
